Terms and Conditions of Service

1 General Service Agreement
These Terms and Conditions govern the provision of veterinary certification services supplied by Animal Health Certificate 4 Pets ("we", "our", "us"). By submitting a pre-check booking or proceeding with payment, the pet owner or authorized representative ("you", "the client") agrees to be legally bound by these terms.
2 Official Veterinarian Status & Scope of Duty
Services are performed exclusively by a qualified Official Veterinarian (OV) registered with the Royal College of Veterinary Surgeons (MRCVS) and authorized by the Animal and Plant Health Agency (APHA) / DEFRA. Our duties are limited to reviewing rabies compliance, verifying microchip identification, and issuing official Animal Health Certificates (AHC) for non-commercial pet travel into the EU and Northern Ireland. We do not provide clinical emergency or primary veterinary medical care.
3 Owner Responsibilities & Documentation Accuracy
You are solely responsible for providing complete, genuine, and accurate medical history for your pet. This includes original proof of microchip scanning and valid rabies vaccination cards/passports. Under DEFRA regulations, an Official Veterinarian cannot sign an AHC if statutory timelines (such as the 21-day primary rabies wait period) or documentation requirements are unsatisfied.
4 Appointments & Inspection Protocol
A physical inspection of the pet and scanning of the microchip by the Official Veterinarian is mandatory prior to signing the final certificate. Inspections take place at designated Collection Point Hubs (e.g. Lutterworth LE17) or via Mobile Home Visits. The named owner or authorized person must present the pet at the agreed time slot.
5 Fees & Payment Terms
All fees must be settled via UK bank transfer prior to appointment confirmation. Standard pricing includes £119.00 for a first AHC (new client), £109.00 for a repeat AHC (existing client), and +£25.00 per additional pet on the same certificate (up to 5 pets max). Applicable travel fees for mobile home visits are calculated transparently based on distance tiers.
6 Statutory Cancellation Rights & Refund Policy
6.1 Request for Immediate Administrative Processing: By proceeding with payment, you explicitly request that we begin clinical verification of your pet's rabies vaccination records and administrative drafting of your Official Animal Health Certificate (AHC) immediately.
6.2 Pre-Appointment Cancellations: If you cancel your appointment after document review and drafting have commenced, a non-refundable £40.00 Administrative & Verification Fee will be retained to cover the clinical review and processing work already completed. Any remaining balance paid will be refunded to your original payment account.
6.3 Non-Issuance Due to Ineligibility / Non-Compliance: If upon clinical inspection of records or during the physical appointment, your pet does not satisfy statutory DEFRA/APHA travel rules (e.g., 21-day rabies waiting period not met, invalid vaccine records, or inability to scan microchip), an AHC cannot be issued. In such cases, the £40.00 Verification Fee (plus any applicable Home Visit travel fee incurred) will be retained, and the remaining balance refunded.
6.4 Post-Issuance Policy (Final Sales): Once our Official Veterinarian physically inspects your pet, verifies the microchip, and signs the final Animal Health Certificate, the service is 100% fulfilled. No refunds will be issued under any circumstances after issuance, even if your travel plans change or are cancelled.
6.5 Rescheduling: Appointments may be rescheduled free of charge with at least 24 hours' notice, subject to availability and remaining within the 10-day EU entry window.
7 Limitation of Liability
While we exercise reasonable care and skill to ensure 100% compliance with EU travel regulations, we are not liable for travel disruptions, ferry/Eurotunnel delays, border inspection refusals, or missed departures caused by incorrect travel dates provided by the client, expired rabies boosters occurring post-issuance, or third-party border official decisions.
8 Data Protection & Governing Law
All client and pet personal data is processed strictly in accordance with UK GDPR and the Data Protection Act 2018. Medical records and certificate copies are retained as required by RCVS statutory guidelines. These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales.
